Review Automation

The Review Automation is one of the most valuable
features in FertiSoft. This is a complex query system that retrieves all the patient charts that need to be reviewed
and, after physician review, will distribute them to other clinical staff according to the requirements to complete the
work. The system creates 3 "work piles"; physician review, nurses final review and communication with the
patient. The areas involved in this are:
- Cycle Results Tab; Cycle Day column
- Tests ordered
- Laboratory data received
- Physician orders
- Nurses final review
- Communication with the patient
As soon as there is a cycle day created in the cycle results
grid, the patient can be scheduled for monitoring tests. When the test orders are input, ID numbers are generated to
address the return of the test results. When the results are transmitted to the electronic chart, it is ready for
physician review. One exception, when the chart is flagged for "MD Review", it
will be part of the pile even without a cycle started.
To activate the query system, the medical staff have to
click on one of the three buttons found in the "Patient Search" dialog window.
- Physicians use the "Go to Next Pt for MD Orders" button.
- Reviewing nurses use the "Go to Next Pt to be Reviewed" button.
- Calling nurses use the "Go to Next Pt to be notified" button.
Normally, all the system works on today's date, but if you want
to perform a query on a different date, you can change the "Date to Search for:" in the "Patient
Search" dialog window ONLY. The next picture shows the buttons part of the "Patient Search" dialog

When the physicians start reviewing, they query the "work
pile" for the first chart to be reviewed, then they can continue the query from the "Physician
Orders..." dialog window by clicking on the "Next Pt." button found on the lower left corner.

The search order is as follow:
- Opens all the cycle days for today and look for a cycle day with laboratory results
received for LH am or pm, E2 am or pm, P4 am or pm, BHCG or FSH level. If it finds one, it is put on the work pile. If
the check box "No Show" is checked in the "Edit
day..." dialog window, this chart will never go on the work pile. At this point, a cycle day in the pile will
have it's column header painted in red in the cycle results grid. It will stay red until the patient has been called by
a nurse.
- The cycle day is rejected if the cycle day contains medication orders or that the check
box "NO Orders" is checked in the "Physician
Orders" dialog window.
- At this point, a cycle day with the check box "Delayed"
or "Resubmit" checked in the "Physician
Orders" dialog window will also be rejected for this pass.
- Then if no cycle day has been found, the query system will search in the patient charts
for a chart with the check box "MD Review" or "To
Review" or "Doctor review" checked in their
respective area.
- If no chart is found, the query system will now search again in the cycle days for cycle
days that has the check box "Delayed" checked in the "Physician
Orders" dialog window. Note that, at this point, a cycle day with the check box "Resubmit"
checked will always be rejected, until a nurse clears the check box "Nurse
review" in the "Edit day..." dialog window.
At the end of this search, you should see a new patient chart
ready for review or you will receive the following message box when nothing is found.

- If no chart is found, the query system will now search again in the cycle days for cycle
days that has the check box "Delayed" checked in the "Edit
day..." dialog window.
At the end of this search, you should see a new patient chart
ready for review or you will receive the message box that nothing as been found.

When the nurses start calling the patients, they query the
"work pile" for the first chart with a patient to be called, then they can continue the query from the "Edit
day..." dialog window by clicking on the "Next Pt. to call"
button found just to the left of the "Save" button in the lower right corner on the "Edit
day..." dialog window.
The search order is as follow:
- Opens all the cycle days for today and look for a cycle day that contains medication
orders or that the check box "NO Orders" is checked in the "Physician
Orders" dialog window. Then it checks to see if the check box "Reviewed" is checked in the "Edit
day..." dialog window. If it finds one, it is put on the work pile. If the check box "Patient
been called" is checked in the "Edit day..." dialog window, this
chart will not go on the work pile, it is finished.
- At this point, a cycle day with the check box "Not
Reached" checked in the "Edit day..." dialog window will also be
rejected for this pass.
- If no chart is found, the query system will now search again in the cycle days for cycle
days that has the check box "Not Reached" checked in the "Edit
day..." dialog window.
At the end of this search, you should see a new patient chart
ready for communication or you will receive the message box that nothing as been found.
